The update of 2 October 2026 changes a few rules. Here they are in short; the sections below give the details.२ अक्टोबर २०२६ को अद्यावधिकले केही नियम बदलेको छ। छोटकरीमा यहाँ छन्; विस्तृत जानकारी तलका खण्डहरूमा छ।

  • Batch first. No dose can be recorded until a batch is attached to the camp day, and every dose comes from one of that day's batches. With one batch it is chosen for you; with several, choose the one you are using.पहिले ब्याच। क्याम्प दिनसँग ब्याच नजोडिएसम्म कुनै मात्रा रेकर्ड हुँदैन, र हरेक मात्रा त्यही दिनका ब्याचमध्ये एउटाबाट दिइन्छ। एउटा मात्र ब्याच भए आफैँ छानिन्छ; धेरै भए आफूले प्रयोग गरिरहेको ब्याच छान्नुहोस्।
  • One dose per child per camp day. Sending the same child again shows Already dosed on this camp day with the child's token number, and records nothing new. A child already dosed that day cannot also be recorded as screened out.एक क्याम्प दिनमा एक बालबालिकालाई एक मात्रा। उही बालबालिकालाई फेरि पठाउँदा बालबालिकाको टोकन नम्बरसहित यस शिविर दिनमा मात्रा दिइसकिएको देखिन्छ र नयाँ केही रेकर्ड हुँदैन। त्यस दिन मात्रा पाइसकेको बालबालिकालाई स्क्रिनिङमा रोकिएको भनेर पनि रेकर्ड गर्न मिल्दैन।
  • Today's camp day. Doses are recorded on today's camp day. A Completed camp day, or one that has not started yet, takes no new doses — not in the wizard, Prashan Mode or Org Mode. Prashan Mode works on every day of a camp day that runs over several days; Org Mode offers only today's camp day.आजको क्याम्प दिन। मात्रा आजको क्याम्प दिनमा रेकर्ड हुन्छ। सम्पन्न भइसकेको वा अझै सुरु नभएको क्याम्प दिनमा नयाँ मात्रा रेकर्ड हुँदैन — विजार्ड, प्राशन मोड वा संस्था मोड कतैबाट पनि। धेरै दिन चल्ने क्याम्प दिनको हरेक दिन प्राशन मोड चल्छ; संस्था मोडमा आजको क्याम्प दिन मात्र देखिन्छ।
  • Age. A child under 12 months cannot be dosed. For a child above the oldest age band, the wizard asks for a reason before the dose.उमेर। १२ महिनाभन्दा कम उमेरका बालबालिकालाई मात्रा दिन मिल्दैन। सबैभन्दा माथिल्लो उमेर समूहभन्दा ठूलो बालबालिकालाई मात्रा दिनुअघि विजार्डले कारण माग्छ।

  • Paper doses cannot be dated in the child's first 12 months, in the future, or before birth.कागजी मात्रा बालबालिकाको पहिलो १२ महिनाभित्रको, भविष्यको वा जन्मनुअघिको मितिमा थप्न मिल्दैन।
  • Names in English letters only (A–Z), for children and guardians. Names already written in Nepali letters stay until someone edits that name.नाम अंग्रेजी अक्षरमा मात्र (A–Z) — बालबालिका र संरक्षक दुवैको। पहिले नै नेपाली अक्षरमा लेखिएका नाम कसैले त्यो नाम सम्पादन नगरेसम्म जस्ताको तस्तै रहन्छन्।
  • Organisation lists. Choosing Import only the … new adds just the new children, and every child from earlier lists stays on the Org Mode list.संस्थाको सूची। आयात गर्दा केवल … नयाँ मात्र आयात गर्नुहोस् छान्नुभयो भने नयाँ बालबालिका मात्र थपिन्छन्, र पहिलेका सूचीका सबै बालबालिका संस्था मोडको सूचीमा रहिरहन्छन्।

  • A camp day's camp site cannot be changed once it has sessions. Before that, changing the site detaches the old site's batches.सेसन रेकर्ड भइसकेपछि क्याम्प दिनको क्याम्प स्थल बदल्न मिल्दैन। त्यसअघि स्थल बदल्दा पुरानो स्थलका ब्याच छुट्टिन्छन्।
  • A restored camp day comes back with the status it had before it was deleted.पुनर्स्थापना गरिएको क्याम्प दिन मेटाउनुअघिकै अवस्थामा फर्कन्छ।
  • A Location Admin can add themself to a camp day's staff.स्थल एडमिनले आफूलाई पनि क्याम्प दिनको कर्मचारीमा थप्न सक्छन्।
  • Batch codes are never reused, even after a batch is deleted.ब्याच कोड कहिल्यै दोहोरिँदैन, ब्याच मेटाइएपछि पनि।

  • Times on screen follow your device's clock — keep the phone or computer set to Nepal time.स्क्रिनमा देखिने समय तपाईंको डिभाइसको घडीअनुसार हुन्छ — फोन वा कम्प्युटरमा नेपालको समय मिलाएर राख्नुहोस्।
  • Offline mode now works on the live system too, at camp sites where an admin has switched it on.अफलाइन मोड अब मुख्य (लाइभ) प्रणालीमा पनि चल्छ — एडमिनले खोलिदिएका क्याम्प स्थलमा।

A user's site assignment lives in Office Staff → Edit → Assign Primary Camp Sites. Multiple sites are allowed.प्रयोगकर्तालाई कुन स्थल तोकिएको छ भन्ने कुरा कार्यालय कर्मचारी → सम्पादन → Assign Primary Camp Sites मा हुन्छ। एकभन्दा बढी स्थल तोक्न सकिन्छ।

The order is Camp Site → Dose Preparation → Camp Day. Each step is linked to the next.क्रम यस्तो छ: क्याम्प स्थल → मात्रा तयारी → क्याम्प दिन। हरेक चरण अर्को चरणसँग जोडिएको हुन्छ।

1.

  1. Log in as Super Admin or General Admin.सुपर एडमिन वा जनरल एडमिन को रूपमा लगइन गर्नुहोस्।
  2. Go to Admin → Camp Sites → + New.प्रशासन → क्याम्प स्थलहरू → + नयाँ क्याम्प स्थल मा जानुहोस्।
  3. Fill in: Code (e.g. RC-001), Name, District / Local Level.कोड (जस्तै RC-001), नाम, जिल्ला / स्थानीय तह भर्नुहोस्।
  4. Save. The site appears in the list immediately.सुरक्षित गर्नुहोस्। स्थल तुरुन्तै सूचीमा देखिन्छ।
2.

  1. From the Camp Sites list, find the site's row.क्याम्प स्थलहरूको सूचीमा सम्बन्धित स्थलको पङ्क्ति खोज्नुहोस्।
  2. Click Add Office Staff on that row — it opens the Assign Office Staff page.त्यही पङ्क्तिमा कार्यालय कर्मचारी थप्नुहोस् थिच्नुहोस् — यसले “कार्यालय कर्मचारी तोक्नुहोस्” पेज खोल्छ।
  3. Tick the staff who should run camps at this site. Location Admins must be ticked here too, even though their role is set elsewhere.यो स्थलमा क्याम्प चलाउने कर्मचारीलाई टिक लगाउनुहोस्। स्थल एडमिनको भूमिका अन्यत्र तोकिएको भए पनि उनीहरूलाई यहाँ टिक लगाउनैपर्छ।
  4. Save. Staff can now log in and see this site.सुरक्षित गर्नुहोस्। अब कर्मचारीले लगइन गरेर यो स्थल देख्न सक्छन्।
3.

  1. Go to Admin → Dose Preparations → + New.प्रशासन → मात्रा तयारी → + नयाँ तयारी मा जानुहोस्।
  2. Set the Camp Site (the dose is scoped to one site).क्याम्प स्थल छान्नुहोस् (एउटा मात्रा तयारी एउटै स्थलका लागि मात्र हुन्छ)।
  3. Add ingredients (e.g. Swarna Bhasma, Vacha, Brahmi); each gets a quantity and unit.सामग्री थप्नुहोस् (जस्तै स्वर्ण भस्म, वचा, ब्राह्मी); हरेक सामग्रीको परिमाण र एकाइ राख्नुहोस्।
  4. Add personnel — the staff who prepared the batch.कर्मचारी थप्नुहोस् — यो ब्याच तयार पार्ने कर्मचारी।
  5. Save. The batch gets its own code, never used before and never reused, even if the batch is deleted later. It is created as Prepared — it exists, but it is not attached to any camp day yet, so no one can dose from it.सुरक्षित गर्नुहोस्। ब्याचले आफ्नै कोड पाउँछ — पहिले कहिल्यै प्रयोग नभएको, र ब्याच पछि मेटाइए पनि फेरि प्रयोग नहुने। ब्याच Prepared अवस्थामा बन्छ — यो बनिसकेको हुन्छ, तर अझै कुनै क्याम्प दिनसँग जोडिएको हुँदैन, त्यसैले यसबाट कसैले मात्रा दिन सक्दैन।
  6. When you are ready, either tick it while scheduling the camp day (step 4), or open the batch and choose Use for camp day (lock) to attach it to a camp day that already exists.   7. A batch only reaches the dosing screen once it is locked to a camp day, and a camp day with no batch cannot record any dose. If staff cannot see a batch on the day, this step is almost always the reason.ब्याच कुनै क्याम्प दिनसँग लक भएपछि मात्र मात्रा दिने स्क्रिनमा देखिन्छ, र ब्याच नभएको क्याम्प दिनमा कुनै मात्रा रेकर्ड हुँदैन। प्राशन दिनमा कर्मचारीले ब्याच देख्न सकेनन् भने प्रायः यही चरण छुटेको हुन्छ।
4.

  1. Go to Admin → Camp Days → + Schedule Camp Day.प्रशासन → क्याम्प दिन → + क्याम्प दिन तालिका मा जानुहोस्।
  2. Pick the Camp Site, Start/End date+time.क्याम्प स्थल र सुरु/अन्त्य मिति तथा समय छान्नुहोस्।
  3. Attach at least one Dose Preparation from step 3 that is still Prepared (not yet locked) — without a batch, no dose can be recorded on this day. The list filters to doses at the same site, and saving locks them to this day.चरण ३ का अझै Prepared अवस्थामा रहेका (लक नभएका) कम्तीमा एउटा मात्रा तयारी जोड्नुहोस् — ब्याच नभए यो दिन कुनै मात्रा रेकर्ड हुँदैन। सूचीमा सोही स्थलका मात्रा मात्र देखिन्छन्, र सुरक्षित गर्दा तिनीहरू यो दिनसँग लक हुन्छन्।
  4. Pick the staff who will run the day — only those assigned to the site appear. A Location Admin can pick themself too.त्यो दिन क्याम्प चलाउने कर्मचारी छान्नुहोस् — सो स्थलमा तोकिएका कर्मचारी मात्र देखिन्छन्। स्थल एडमिनले आफूलाई पनि छान्न सक्छन्।
  5. Save. The camp day shows on the dashboard for assigned staff.सुरक्षित गर्नुहोस्। तोकिएका कर्मचारीको ड्यासबोर्डमा क्याम्प दिन देखिन्छ।
  6. Moving it to another camp site (Super Admin, General Admin): refused once the camp day has any session — create a new camp day at the other site instead. Before that, the move detaches the old site's batches, and they go back to Prepared.अर्को क्याम्प स्थलमा सार्दा (सुपर एडमिन, जनरल एडमिन): क्याम्प दिनमा कुनै पनि सेसन रेकर्ड भइसकेपछि मिल्दैन — बरु अर्को स्थलमा नयाँ क्याम्प दिन बनाउनुहोस्। त्यसअघि सार्दा पुरानो स्थलका ब्याच छुट्टिन्छन् र फेरि Prepared अवस्थामा फर्कन्छन्।
  7. A deleted camp day can be brought back from Show Deleted → Restore (Super Admin, General Admin). It returns with the status it had before it was deleted.मेटाइएको क्याम्प दिन फर्काउन मेटाइएको देखाउनुहोस् → पुनर्स्थापना थिच्नुहोस् (सुपर एडमिन, जनरल एडमिन)। यो मेटाउनुअघिकै अवस्थामा फर्कन्छ।

This is the wizard at Dashboard → today's camp day → Open.यो ड्यासबोर्ड → आजको क्याम्प दिन → खोल्नुहोस् मा रहेको विजार्ड हो।

The top bar has three entries: Dashboard, Participants and Admin ▾ (Core Data ▾ for a General User). Prashan Mode, Org Mode, Scan QR Code and Offline mode are at the top of that menu, under Prashan. On a phone or tablet they are in the ☰ menu, in the same order.माथिको पट्टीमा तीनवटा मात्र छन्: ड्यासबोर्ड, सहभागीहरू र प्रशासन ▾ (सामान्य प्रयोगकर्ताका लागि मुख्य डाटा ▾)। प्राशन मोड, संस्था मोड, QR कोड स्क्यान गर्नुहोस् र अफलाइन मोड त्यो मेनुको सबैभन्दा माथि, प्राशन अन्तर्गत छन्। फोन वा ट्याब्लेटमा यिनै कुरा ☰ मेनुमा यही क्रममा छन्।

Parents can pre-register via /register on their phone before arriving. They get a QR code with a UPC they can show at the site. Staff verify the registration on first interaction.अभिभावकले आउनुअघि आफ्नै फोनबाट /register मा गएर पहिल्यै दर्ता गर्न सक्छन्। उनीहरूले UPC सहितको QR कोड पाउँछन्, जुन स्थलमा देखाउन सकिन्छ। पहिलो पटक भेट हुँदा कर्मचारीले दर्ता प्रमाणित गर्छन्।

  • Doses are recorded on today's camp day.   • Org Mode offers only today's camp day.संस्था मोड मा आजको क्याम्प दिन मात्र देखिन्छ।
  • The camp day needs at least one batch attached, and every dose comes from one of its batches. With one batch it is chosen for you; with several, choose the batch you are using (the wizard remembers your last choice for that day, and Org Mode asks for each child).क्याम्प दिनसँग कम्तीमा एउटा ब्याच जोडिएको हुनुपर्छ, र हरेक मात्रा त्यसैका ब्याचमध्ये एउटाबाट दिइन्छ। एउटा मात्र ब्याच भए आफैँ छानिन्छ; धेरै भए आफूले प्रयोग गरिरहेको ब्याच छान्नुहोस् (विजार्डले त्यो दिन तपाईंले पछिल्लो पटक छानेको ब्याच सम्झन्छ, र संस्था मोडले हरेक बालबालिकाका लागि सोध्छ)।

  1. Scan the QR (or search by UPC / name) to pull up the participant.सहभागी खोज्न QR स्क्यान गर्नुहोस् (वा UPC / नामबाट खोज्नुहोस्)।
  2. Verify the registration if it's still Self Registered — confirm name, gender, DOB, parents.दर्ता अझै स्वयं दर्ता अवस्थामा छ भने प्रमाणित गर्नुहोस् — नाम, लिङ्ग, जन्म मिति र अभिभावकको विवरण जाँच्नुहोस्।
    • Names of children and guardians must be in English letters (A–Z). A name already written in Nepali letters stays until you change it; typing in that name box clears the Nepali letters, so retype the whole name in English.बालबालिका र संरक्षकको नाम अंग्रेजी अक्षर (A–Z) मा हुनुपर्छ। पहिले नै नेपाली अक्षरमा लेखिएको नाम तपाईंले नबदलेसम्म रहन्छ; त्यो नामको बाकसमा केही टाइप गर्दा नेपाली अक्षर हट्छन्, त्यसैले पूरै नाम अंग्रेजीमा फेरि लेख्नुहोस्।
  3. Screen the child:बच्चाको स्क्रिनिङ गर्नुहोस्:
    • Age: a child under 12 months cannot be dosed. For a child above the oldest age band, tick Dose this child anyway (above the programme age) and write the reason — the wizard will not go on without it.उमेर: १२ महिनाभन्दा कम उमेरका बालबालिकालाई मात्रा दिन मिल्दैन। सबैभन्दा माथिल्लो उमेर समूहभन्दा ठूलो बालबालिका भए यो बालबालिकालाई तैपनि डोज दिनुहोस् (कार्यक्रमको उमेरभन्दा माथि) मा टिक लगाएर कारण लेख्नुहोस् — त्यसबिना विजार्ड अगाडि बढ्दैन।
    • Vitals: Height, Weight, MUAC, Head Circumference (BMI auto-calculates).शारीरिक मापन: उचाइ, तौल, MUAC, टाउकोको परिधि (BMI स्वतः गणना हुन्छ)।
    • Temp (optional).तापक्रम (ऐच्छिक)।
    • Underweight flag appears in red if the BMI is below the age-bucketed threshold — consider referral but not a hard block.BMI उमेर समूहको सीमाभन्दा कम भए कम तौलको चेतावनी रातो रङमा देखिन्छ — रेफरल विचार गर्नुहोस्, तर यसले मात्रा दिन रोक्दैन।
  4. Accompanying guardian — pick from the dropdown, or choose Other and enter name + relation for a one-off.साथमा आउने संरक्षक — सूचीबाट छान्नुहोस्, वा एक पटकका लागि अन्य छानेर नाम र नाता लेख्नुहोस्।
  5. Medical history — tick anything new; auto-fills from prior sessions if any.स्वास्थ्य इतिहास — नयाँ कुरा भए टिक लगाउनुहोस्; अघिल्ला सेसनको विवरण भए आफैँ भरिन्छ।
  6. Exclusion criteria — tick if any apply; if any are ticked, the wizard switches to FilteredOut mode and requires a remark.अपवर्जन मापदण्ड — लागू हुने भए टिक लगाउनुहोस्; कुनै पनि टिक भएमा विजार्ड FilteredOut मोडमा जान्छ र टिप्पणी अनिवार्य हुन्छ।
  7. Submit. The session locks; vitals cannot be edited after.पेश गर्नुहोस्। सेसन लक हुन्छ; त्यसपछि शारीरिक मापन सम्पादन गर्न मिल्दैन।
    • Excluded: status becomes FilteredOut; no dose is recorded.अपवर्जित भएमा: स्थिति FilteredOut हुन्छ; कुनै मात्रा रेकर्ड हुँदैन।
    • Otherwise: status becomes Completed; dose count increments.अन्यथा: स्थिति Completed हुन्छ; मात्राको गणना एकले बढ्छ।
    • One dose per child per camp day. If the child was already dosed on this camp day, the wizard shows Already dosed on this camp day with when and where, and the day's token number, and records nothing new. To find a child's token again, just search for the child on the dosing screen. A child already dosed that day cannot be screened out afterwards either. If the earlier record is wrong, ask an admin to correct it.एक क्याम्प दिनमा एक बालबालिकालाई एक मात्रा। बालबालिकाले यही क्याम्प दिनमा मात्रा पाइसकेको भए विजार्डले कहिले, कहाँ र आजको टोकन नम्बर सहित यस शिविर दिनमा मात्रा दिइसकिएको देखाउँछ, र नयाँ केही रेकर्ड गर्दैन। बालबालिकाको टोकन फेरि हेर्न डोज दिने स्क्रिनमा बालबालिका खोज्नुहोस्। त्यस दिन मात्रा पाइसकेको बालबालिकालाई पछि स्क्रिनिङमा रोकिएको भनेर पनि रेकर्ड गर्न मिल्दैन। पहिलेको रेकर्ड गलत भए एडमिनलाई सच्याउन भन्नुहोस्।

If a follow-up call reveals an adverse effect, the staff opens the session via the profile and records the effect text. The session row stays locked but the AE text is appended (and audit-logged).फलो-अप कलमा कुनै प्रतिकूल असर देखिएमा कर्मचारीले प्रोफाइलबाट सेसन खोलेर असरको विवरण लेख्छन्। सेसन लक नै रहन्छ, तर प्रतिकूल असरको विवरण थपिन्छ (र अडिट लगमा पनि रेकर्ड हुन्छ)।

Children accumulate doses across visits. Once the lifetime total (prior + system-recorded) hits 60, the wizard blocks Submit with a clear message. This is enforced server-side too — the cap can't be bypassed by retrying.बच्चाले हरेक भ्रमणमा लिएका मात्रा जोडिँदै जान्छन्। जीवनभरको जम्मा (अघिल्लो + प्रणालीमा रेकर्ड) ६० पुगेपछि विजार्डले स्पष्ट सन्देशसहित पेश गर्न रोक्छ। यो नियम सर्भरमा पनि लागू हुन्छ — फेरि प्रयास गरेर यो सीमा छल्न सकिँदैन।

Doses given outside this system are added on the child's profile with Add Paper Dose. The date cannot be in the child's first 12 months, in the future, or before the date of birth. Only one paper dose per day, and none on a day the system already has a dose. The 60-dose cap applies to paper doses too.यो प्रणाली बाहिर दिइएका मात्रा बालबालिकाको प्रोफाइलमा कागजी मात्रा थप्नुहोस् बाट थपिन्छन्। मिति बालबालिकाको पहिलो १२ महिनाभित्र, भविष्यमा वा जन्म मितिभन्दा अघि हुन मिल्दैन। एक दिनमा एउटा मात्र कागजी मात्रा, र प्रणालीमा मात्रा रेकर्ड भएको दिनमा कागजी मात्रा थप्न मिल्दैन। ६० मात्राको सीमा कागजी मात्रामा पनि लागू हुन्छ।

A school's or other organisation's list of children is loaded at Admin → Import Org Children (Super Admin, General Admin, Location Admin). If a new list repeats children already imported, Import only the … new adds just the new ones. Either way, every child from earlier lists stays on the list in Org Mode, where staff dose them on today's camp day.विद्यालय वा अन्य संस्थाका बालबालिकाको सूची प्रशासन → संस्थाका बालबालिका आयात बाट चढाइन्छ (सुपर एडमिन, जनरल एडमिन, स्थल एडमिन)। नयाँ सूचीमा पहिले आयात भइसकेका बालबालिका पनि छन् भने केवल … नयाँ मात्र आयात गर्नुहोस् ले नयाँलाई मात्र थप्छ। जुनसुकै तरिकामा पनि पहिलेका सूचीका सबै बालबालिका संस्था मोड को सूचीमा रहिरहन्छन्, जहाँ कर्मचारीले आजको क्याम्प दिनमा उनीहरूलाई मात्रा दिन्छन्।

For camps where signal drops or there's no signal at the site. You prep on the office wifi, work offline at camp, and sync when you're back online. Since 2 October 2026 it is available on the live system, at camp sites where an admin has switched it on (first step below).नेटवर्क बीचमा जाने वा स्थलमा नेटवर्क नै नहुने क्याम्पका लागि। कार्यालयको वाइफाइमा तयारी गर्नुहोस्, क्याम्पमा अफलाइन काम गर्नुहोस्, र फेरि अनलाइन भएपछि सिंक गर्नुहोस्। २ अक्टोबर २०२६ देखि यो मुख्य (लाइभ) प्रणालीमा उपलब्ध छ — एडमिनले खोलिदिएका क्याम्प स्थलमा (तलको पहिलो चरण हेर्नुहोस्)।

  1. Before any of this works, a Super Admin or General Admin must switch offline mode on for the camp site: Admin → Camp Sites → Edit → Enable offline mode for this campsite. You can't log out while there's pending offline work. Sync first, then log out. If a session fails to sync with a dose-cap message, the child has already received their 60 doses elsewhere — the rejection is correct. Check that the camp day has a batch attached (Admin → Camp Days → Edit), that it is today's camp day and not Completed, and that the child is old enough (12 months or more). Note what you were doing and the time it happened, and take a screenshot of the message on screen. Locked doses are immutable on purpose.
